This policy explains what personal data Hedly, a service of Simera LLC (“Hedly”, “we”), collects through hedly.ai and while providing executive-assistant services, why we use it, who we share it with and the choices you have. It applies to visitors, prospective and current clients, and executive assistants who apply to work with us.
Hedly is a service operated by Simera LLC, which is responsible for the personal data described in this policy. Hedly provides remote executive assistants (“EAs”) who work with AI tools, and every EA is vetted by Simera. For any privacy question or request, write to hello@hedly.ai.
We collect only what we need to answer you and to run the service:
We do not sell personal data and we do not use client data to train AI models.
Where data-protection laws such as the GDPR apply, we rely on: steps you ask us to take before a contract and performance of the contract (inquiries and the service); our legitimate interest in running and securing our business (technical data, applicant evaluation); legal obligations; and your consent where we ask for it, which you can withdraw at any time.
When your EA works in your inbox, calendar or documents, we act on your instructions as a service provider (a “processor”). EAs sign confidentiality agreements, access is limited to what you grant, and you decide which actions need your approval. You can revoke access at any time.
Our EAs and providers are located in several countries, so your data may be processed outside your own. When we transfer data we use appropriate safeguards, such as standard contractual clauses, where the law requires them.
We keep inquiry and application data for up to 24 months after our last contact, and client data for the length of the service plus the period needed for legal, tax and accounting duties. After that we delete or anonymize it.
hedly.ai does not use advertising cookies. We use Google Analytics to measure visits and form submissions in aggregate; it sets analytics cookies, which you can block or delete in your browser settings. We also store one setting in your browser (your light or dark theme choice) so the site remembers it. You can clear it from your browser at any time.
Depending on where you live, you may have the right to access, correct, delete or export your data, to object to or restrict its use, and to withdraw consent. California residents may also ask what we collect and request deletion; we do not sell or share personal data for cross-context advertising. Write to hello@hedly.ai and we will answer within 30 days. You can also complain to your local data-protection authority.
We use encryption in transit, access controls, activity logs and confidentiality agreements. No system is perfectly secure; if a breach affects your data we will tell you as the law requires.
Our services are for businesses and professionals. We do not knowingly collect data from anyone under 18.
We may update this policy. We will post the new version here with its date, and tell clients by email about material changes.
